The Norcal Permaculture Convergence aka The Convergence is a 501c3 Non-profit under EmpowermentWorks. We are the oldest and largest Permaculture gathering in the world. Our website address is: http://permacultureconvergence.com.

What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

We use Wufoo and Gravity Forms to collect information from vendors, sponsors, community partners, volunteers, team members, and presenters. Click the links below to see the privacy policies for Wufoo and Gravity Forms.

For financial transactions, we use Paypal and Stripe, and do not store or keep any of your personal financial data, with the exception of the information passed on to use from those two entities, including your name and email addresses, in some cases possibly your mailing address if you elected to share that, your transaction amount, transaction details, and transaction ID.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

 

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

 

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. Who we share your data with

We do not share your data with any organization or individual outside of our team.

 

If you subscribe on our website, we simply keep your data in Aweber, our email client.

 

If you purchase a ticket, we also have your data in our Eventbrite account, and may export it for the purpose of allowing our registration team to check you in.

 

If you sign up on an intake form to participate as a vendor, sponsor, volunteer, workshop presenter, speaker, or community partner, we may export your data to a google sheet for use in administering these departments.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information. The only people invited to be users on our website are team members and people participating as speakers, workshop presenters, or bloggers.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

How we protect your data

Jay how should we respond? We should probably start using LastPass to protect password data when sharing it with team members.

What data breach procedures we have in place

  1. Note: We do not collect any sensitive financial or other highly sensitive data, such as driver’s license numbers, social security numbers, or anything of this nature. We do not collect mailing or physical addresses or request address information.
  2. Should there be a data breach, we would follow the regulations of the State of California to report these.

What third parties we receive data from

We receive data from 3rd party applications that we have accounts with to serve our community, such as Eventbrite, Wufoo forms, Aweber, Paypal, Stripe, and Gravity forms. See the above listed privacy policies for all these intake methods.

What automated decision making and/or profiling we do with user data

We do not currently utilize any automated decision making. We do not currently do any profiling with user data.
